Shipping and Trade Compliance Manager

The role:

  • Manage the company’s shipping, despatch and trade-compliance activities.
  • Lead, motivate and develop the despatch team, ensuring that departmental responsibilities are clearly understood and effectively completed.
  • Ensure products are packed, documented and shipped accurately, securely and on time.
  • Coordinate domestic and international shipments through approved couriers, freight forwarders and logistics providers.
  • Ensure all commercial invoices, packing lists, certificates, customs declarations and supporting shipping documents are complete and accurate.
  • Maintain compliance with applicable UK export controls, sanctions, customs requirements and company ITC procedures.
  • Review shipments for potential export-control, sanctions, end-use, end-user and destination concerns, escalating matters where appropriate.
  • Support the correct use of commodity codes, customs values, country-of-origin information, Incoterms and other relevant trade data.
  • Determine when export licences, authorisations or further compliance reviews may be required and ensure shipments are not released without the necessary approvals.
  • Maintain accurate, complete and readily retrievable shipping and trade-compliance records.
  • Liaise with customers, freight forwarders, customs agents, couriers and internal departments to resolve documentation and delivery issues.
  • Monitor delivery performance and investigate late, damaged, rejected or otherwise non-compliant shipments.
  • Maintain accurate despatch, inventory and transaction records within company systems.
  • Support stock-control activities and improvements in inventory accuracy.
  • Produce and analyse departmental KPIs, reporting on delivery performance, compliance and improvement actions.
  • Identify and implement continuous-improvement opportunities across shipping, despatch and logistics processes.
  • Support internal and external audits relating to shipping, customs and trade compliance.
  • Ensure departmental adherence to company quality, Health, Safety and Environmental requirements.

Requirements:

  • Proven experience in international shipping, logistics, despatch or trade compliance.
  • Practical experience of International Trade Compliance, including export-control procedures, customs documentation and international shipping requirements.
  • A sound working knowledge of import and export regulations.
  • Experience preparing, reviewing or approving documentation for international shipments.
  • Understanding of customs declarations, commodity classifications, origin, valuation and Incoterms.
  • Experience working with freight forwarders, customs agents, couriers and logistics providers.
  • Previous experience leading or managing a despatch, shipping, logistics or warehouse team.
  • Experience using ERP, MRP, inventory or warehouse-management systems.
  • Strong organisational and planning skills, with excellent attention to detail.
  • The ability to prioritise workloads and manage several deadlines simultaneously.
  • Strong problem-solving and decision-making abilities.
  • Clear and professional communication skills when dealing with customers, suppliers, logistics providers and colleagues.
  • A proactive and accountable approach to compliance and operational performance.
  • Commitment to quality and Health, Safety and Environmental compliance.
